Terms of Service

These terms cover your use of Chronote, operated by BASIC BIT LLC ("we", "us"). By adding Chronote to a Discord server, or by signing in to the web portal, you agree to them.

If you add Chronote to a server you administer, you are agreeing on behalf of that server.

What Chronote does​

Chronote is a Discord bot that records voice meetings, produces transcripts and notes, and keeps them in a searchable library. It can also answer questions about past meetings, speak in voice channels, and export notes to connected services such as Notion.

Recording responsibilities​

This is the part that matters most, so it is stated plainly.

You are responsible for the legality of recordings made in your server. Laws about recording conversations vary widely by country and by state, and some require the consent of every person being recorded. Chronote gives you the tools to record; it does not determine whether you are allowed to.

If you enable recording in a server, you agree that you will:

  • Tell your members that meetings can be recorded, and make sure that is discoverable, for example in your server rules.
  • Obtain whatever consent the law requires in the jurisdictions your members are in.
  • Configure auto-record only in channels where recording is appropriate.
  • Handle requests from your own members about recordings they appear in.

Chronote helps by being visibly present in the voice channel while it records and by posting in the channel when a meeting starts, but that is a courtesy, not a substitute for your own notice and consent practices.

Acceptable use​

Do not use Chronote to:

  • Record people covertly, or in any way that breaks the law where you or they are located.
  • Record conversations you have no right to record.
  • Break Discord's Terms of Service or Community Guidelines.
  • Attempt to access meetings, servers, or accounts you have not been granted access to.
  • Resell or rebrand the hosted service as your own.
  • Abuse the service in ways that degrade it for others, including automated attempts to exceed plan limits.

We can suspend or remove access for a server or an account that does any of the above.

Your content​

Recordings, transcripts, and notes created through your server belong to you and your members, not to us. We store and process them to run the service, as described in the Privacy Policy.

You are responsible for the content of your meetings. You grant us only the rights needed to operate the service on your behalf, such as storing recordings, sending audio for transcription, and displaying notes back to people with access.

Plans, billing, and limits​

  • Plans are priced per Discord server, not per member. Current plans and limits are on the Chronote site.
  • Paid plans are billed through Stripe, monthly or annually, and renew automatically until cancelled.
  • You can cancel at any time. Cancellation stops future charges and takes effect at the end of the period you have already paid for.
  • We do not generally give refunds for partial periods, but if something goes wrong on our side, contact us and we will sort it out.
  • Plan limits, such as recording hours and meeting length, are enforced by the service. Hitting a limit stops new recordings until the limit resets or the plan is upgraded.
  • We may change prices. If a price changes for a plan you are already on, we will give you notice before it takes effect and you can cancel.

Availability​

Chronote is provided as-is. We work to keep it running, and we watch it closely, but we do not promise uninterrupted service, perfect transcription accuracy, or that a given meeting will record successfully.

Transcripts and notes are produced by automated speech recognition and language models. They can contain errors, including misattributed speech. Do not treat them as a verbatim legal record without checking them. The correction and approval flow exists so a human can put the record right.

Liability​

To the extent the law allows, we are not liable for indirect or consequential losses, lost profits, or lost data arising from your use of Chronote. Our total liability for any claim is limited to what you paid us for the service in the twelve months before the claim.

Nothing here limits liability that cannot be limited by law.

Ending it​

You can stop using Chronote at any time by removing the bot from your server, which stops all recording. You can archive meetings from the library, and you can email us to have meetings and their recordings removed from storage, which we do within 30 days.

We can suspend or end access if these terms are broken, if it is needed to protect the service or its users, or if we stop offering the service. If we discontinue Chronote, we will give reasonable notice and a window to export your data.

Open source​

Chronote's source code is published under the GNU Affero General Public License v3 at github.com/Chronote-gg/Chronote. That license governs the code. These terms govern the hosted service we run at chronote.gg.

Changes to these terms​

If we change these terms materially, we will note it on this page and in the What's New feed before the change takes effect. Continuing to use Chronote after that means you accept the new terms.

Governing law​

These terms are governed by the laws of the State of Indiana, United States, without regard to its conflict of laws rules. Any dispute that cannot be resolved between us will be heard in the state or federal courts located in Indiana, and both of us agree to that venue.
